    Does anyone out there have a good program or ideas for keeping your records on repairs/maintenance on equipment?

    I keep a Maintenance Log on every machine, right down to the weedeaters and handheld blowers. Each log is kept in it's individual file in the filing cabinet. Repair history and cost are kept in the log for each machine. I've attached it.

    I just came across this google app program that I will be trying in the new year. It seem to be what I was looking for with maintenance records, asset management and even parts inventory. What I have messed around with in it so far seems to be just the trick. Worth a shot to take a look at at least.

    I have over 300 pieces of equipment, all makes and models, trimmers, backpack blowers, tractors, skidsteers, shop vehicles, shop tools, grinders, etc. I have them all entered into the Toro MyTurf program. Every piece of equipment can be customized in the program to alert you of what preventative maintenance is needed. You can print off work orders and control all of your inventory very easily. When you want to see what the total cost of ownership is at anytime it is a simple click of the mouse. You can also easily do many reports/pie charts if need be. If you have any Toro equipment all of the parts and service manuals are on there as well. I think that they still do a 3 or 6 month free trial. There will be a new version being shown at the GIS. I have been using it for years and would now be lost without it.

    I just started using TRIMS grounds management last year around this time. So far I do like it, it seems to be a pretty good program keeps track of all your inventory and equipment repairs and also pops up your PM's for your equipment when they are due. There is a Cost to it initially to get it going, and if you want to update each year it cost some as well but you don't have to update it from what i hear. Like I said I am just coming up to having it for a year and it seems to be working out pretty good for me.

    I set up a spreadsheet system in Excel that works very well for me. Each piece of equipment has it's own
    tab with page breaks for the different years so on one tab you have ongoing records for the life of the
    machine. Each section has a box for running totals for that year, those totals are then reconciled to a master
    sheet that I create for each year so I have a running total for the fiscal year. Feel free to contact me and I can

    I am with Merv. We use Toro MyTurf just takes away a lot of the administrative work having wireless hour meters and using ipads to input the info. If you are ok with the occasional downtime of the program we have found it to be great to use.

    MyTurf in my opinion is a great way to go. The new version will be out this summer. They put together a group of Equipment Managers together to offer input into it. It's going to be an even better program in my opinion to use for fleet management. There will also be some continuing updates to it that are going to be an even better value for the whole facility not just for the equipment portion. Once the newer version is out we'll be utilizing the IPads to help make things run smoother. It's a real time saver in our shop.
